Project Guidelines
What should I do if I need consultation on a marketing or publications project?
To request consultation on a marketing, publications or communications project, begin by completing a Project Request Form (also available in PDF format). This form must be completed thoroughly and should include:
- Your complete contact information
- The billing account number of your department
- A detailed description of the project, including communication goals
- Budget
- Quantity
- Deadline
- A detailed description of the event being supported, if applicable
Once you've completed this form and submitted it to Jan Hatchette, assistant director of marketing and publications, we will review your request and contact you to set up a consultation meeting.
At this meeting, we will discuss your objectives with you, make recommendations and possibly refer you to one or more of our preferred list of third-party vendors (e.g., writers, editors, proofreaders, designers, photographers, printers, production houses, direct mail service providers, etc.) who will best be able to assist you in completing your project.
If you have additional questions, please contact Jan Hatchette at 289-8660 or jhatchet@richmond.edu.
How much time should I allow when planning a publications project?
A good rule of thumb is to contact us a minimum of six to eight weeks before your project needs to be completed. This will allow sufficient time for you to consult our office, coordinate with vendors, work with the third party on the editorial/design aspects of your project and have your project printed. However, sooner is always better...the more time you allow for planning, the better (and less expensive) your results will be.
What should I do if I need to borrow a photo from the University archives?
If you would like to borrow photos from the University's photography archives (slides or prints), please complete the Photography Use Request Form and submit it to Mary Jane Mann in the Marketing and Publications Office. Please keep in mind that all photos must be returned in a reasonable time frame to ensure that other University staff, faculty and students have access to the images they need.
If you have questions regarding the University photo archives, please contact Mary Jane Mann at 289-8241 or mmann@richmond.edu.
What should I do if I need to request a photographer for a project?
To request a photographer, fill out the Photographer Request Form (also available in PDF format) and submit it to Jan Hatchette in the Office of Marketing and Publications.
