FACILITIES

Section 1. General Policy

The primary responsibility for the administration, management, and maintenance of the athletic and recreational facilities, on campus, is delegated to the Associate Director of Athletics/Facilities by the Director of Athletics. This office coordinates with the University Events Manager, the Director of Campus Recreation, and the Physical Plant Director to insure equal opportunity usage and safety for all persons.

Section 2. Facility Requests

All University athletic and recreational facilities are used to maximum levels. All requests for facility use outside of team practices and contests during the academic year must be directed to the University Events Manager. The Events Manager consults with the Associate Director of Athletics/Facilities for approval or rejection of the request. Priority for requests is given according to the approved Facility Scheduling Priority Plan. (See Appendix A). During the summer term initial requests are directed to the Coordinator of Summer Conferences rather than the University Events Manager. The remainder of the process remains identical.

Section 3. Maintenance and Security

All intercollegiate and recreational facilities are maintained and upgraded as needed to assure that they will be at a level and of a standard in accordance with the quality established by the University. Appropriate budgets may be charged for expenses required to maintain this standard. The Vice President for Finance determines, in conjunction with the Director of Athletics, and in consultation with appropriate parties, the priorities of facility maintenance and/or renovation.

Proper security of the facilities is the responsibility of the individual user. All authorized personnel permitted to use the facilities are responsible for reporting any misuse of facilities by unauthorized persons. Bicycles, skateboards, and roller blades are not permitted in the Robins Center. All facilities must be locked and secured after use.

Section 4. Facility Rental Fees

Major special events involving the use of the Main Arena, stadium areas, or other athletic facilities, by either on-campus or off-campus organizations must first be granted permission to hold such an event by the Director of Athletics or his designee. Where fees for the use of the facility, its operation, maintenance, and/or security are involved, the Director of Athletics determines the availability of the request and the cost(s) involved through consultation with the Vice President for Finance. A contract will then be drawn to solidify the terms agreed upon by the parties involved.

Section 5. Grievance Procedures

Any disputes arising over the proposed use of the Athletic and Recreational facilities are to be decided by the Director of Athletics and the Robins Center Council (Director of Athletics, Chair of Health and Sports Sciences Department, Director of Campus Recreation and Associate Director of Athletics/Facilities) upon consultation with the parties involved.

APPENDIX A

FACILITY SCHEDULING PRIORITY PLAN

The University boasts a host of facilities that are available for recreational use. On the other hand, the demand for individual and group use of these facilities is overwhelming. In an attempt to exercise some control and assure opportunity for use by all concerned, the following Facility Scheduling Priority Plan has been approved for the academic year:

  3. Non-University Sponsored Events.

Auxiliary Gymnasium

  1. Instructional Program
  2. Campus Recreation
  3. In-Season Intercollegiate Athletics
  4. Pre-Season Intercollegiate Athletics.
  5. University Student Sponsored Events.
  6. Out-of-Season intercollegiate Athletics.
  7. Non-University Sponsored Events.
